Commission Structure
The nursery or school will receive up to a 20% commission based on the profit from sales minus expenses, which is calculated according to the number of children photographed. Commission is based on a sliding scale depending on how many children are photographed.We will send an email stating how much commission has been earned where applicable. In order for us to process payment to the school or nursery bank account, a reply is required each time a commission report is sent, including the relevant bank details. We do not store bank details, and therefore, future payments cannot be processed unless bank details are confirmed every time commission is earned. Commission is only payable within our financial year, which runs from September to August. Any bank details sent after our financial year has closed will not be eligible for commission payment.

Complimentary Services
Free staff headshots will be provided as part of our service. Please note this is a free service; however, it may affect commissions as staff will be paid for this and expenses will be higher. -
Ordering and Payment System
We use an easy-to-use online ordering system for parents. No cash handling is required at the nursery or school. Digital downloads are also available, and parents can mix and match photo and digital packs. -
Missed Photo Day Policy
We offer ‘Mop Up Days’ for children who miss photo day due to illness or other reasons at our sister studio in County Durham. -
Photo Availability and Shipping
Photos will be available online for approximately 2-3 months. Free batch shipping to the nursery or school is offered for orders placed within the first week. -
Staff and Data Protection
All staff members are DBS checked. The Company is a limited entity registered with the Information Commissioner’s Office for data protection and GDPR compliance. All photographers have independent contracts to ensure safety and data protection. Data is managed using password-protected methods. -
Team Structure and Scheduling
We have a large team to provide extra coverage when necessary. Typically, four staff members and two setups are provided to large nurseries or schools in one day. Photos are usually available online within one to two weeks. -
Types of Photoshoots Offered
We offer Graduation, Classic, and Christmas photoshoots. -
Communication Support
Posters are provided for each photo day to help the nursery or school inform parents. For lost codes, a PDF of unique reference codes will be sent to the nursery or school office. We do not provide codes via direct messages to parents. -
School Software Integration
Free images for school software (e.g., SIMS, Arbor) are available upon request. -
Customer Support
Parents and settings can contact us directly with any queries. We have dedicated staff to handle inquiries promptly. -
Feedback and Incentives
We conduct regular check-ins with nurseries, schools, parents, and staff for continuous improvement. Parents providing feedback are entered into a £20 Amazon prize draw, held twice annually. -
Commercial Services
Commercial photography services are available for an additional charge, which can be deducted from the commission upon agreement. -
Booking and Cancellation Policy
No formal contract binds the nursery or school to our services. However, we expect that scheduled bookings are honored as we allocate photographers accordingly. Cancellations should be avoided as a courtesy. If a school or nursery cancels a photoshoot within three months of the scheduled date, this may affect the commission as the photographers and company will be compensated for loss of earnings. This compensation may be deducted from future or previous commission with the same school or nursery. Where loss of earnings is more than commission we may use future commissions or send an invoice for compensation due. -
Coordination and Scheduling Expectations
We expect full coordination with the nursery or school to provide accurate and timely child data necessary for the photoshoot. We understand how long it takes to photograph a certain number of children and how much time is required for our photographers to set up and transition between classes. Therefore, it is crucial that we receive all necessary information in an efficient manner to organize the photoshoot effectively. The nursery or school agrees to respect our scheduling decisions to ensure the photoshoot is conducted smoothly and efficiently. -
Transparency and Accessibility
We maintain transparency with pricing, FAQs, and portfolio information readily available on our website. We believe in open communication with educational settings, parents, and competitors.
